Transactions can be imported into an active raffle directly in the Admin Portal. Upon event activation, new options exist on the Live Event Dashboard to facilitate importing and processing transactions.
Importing Transactions
Navigate to the Live Event Dashboard of the activated event that you wish to import transactions into. If it is your first time importing transactions, click on "Download Sample CSV” to obtain the Transaction File template.
Here are some important notes about the Transaction File:
- The “*” in Row 1 denotes recommended fields
- Mandatory fields include:
- Amount
- Charity code
- Phone type
- Fields in Row 1 should not be edited in any way
- Ensure that the file type is “CSV File” format
- If you are using the organization's feature, input the corresponding organization ID in column D, OrganizationId.
- ID is a numeric value that is autogenerated when new organizations are setup.
- See more information here on how to setup organizations.

- After documenting all transactions for import in the Transaction File, select "Upload Transaction File" on the dashboard.

- Follow the prompts to “Choose File” and select the completed Transaction File.

- A notification will appear after the upload, indicating whether the file was imported successfully.

- In case of errors, the system will deliver feedback indicating errors in the transaction file that need to be corrected before transactions will import. The system will also provide an option to download a file indicating all errors for reference.

Processing Transactions
- When ready to generate and distribute tickets, select "Process Transactions".
- Note: If subsequent transactions files are imported after transactions imported earlier were processed, subsequent transactions will process immediately after import.

- While transaction files are being processed, a green circle will appear next to the Batch Upload dropdown, signifying ongoing processing. The circle will vanish once the file has been successfully processed.
- A window will appear, indicating processing progress and then the outcome of the transactions as either Success or Failed.
- If transactions fail to process, the Raffle Manager should generate a Raw Data Dump for the active event and compare processed transactions against those imported in the transaction file. Transactions that fail to process should be outlined in a new transaction file, corrected for errors and re-imported.
